POSITION:  Event and Meeting Planner

REPORTS TO:  Hotel Manager/Director of Sales

HOURS:  As Required - Hours will vary based on events.  Any overtime must be pre approved

DURATION:  Full time year round

Primary Function of the Position

To provide follow up, planning, communicating with the clients to assist with their requirements for events at the Lodge. Providing on site contact both arrival and departure follow up and to provide accurate billing information excellent customer focus with much attention to detail.

 

Basic Duties:

  • Perform site inspections as required.
  • Handling phone and email inquiries on a regular basis - communicating both verbally and written with all customers
  • Building master accounts, PM accounts, sorting through rooming lists and putting them into Opera ensuring all detail is followed
  • Complete agendas and/or function sheets for all upcoming conferences, tours, out of house dinners, fam/media trips and
  • Conducting BEO meetings on a weekly basis with all departments to provide all detail for upcoming functions and to ensure that all information is understood and followed up
  • Assisting F&B Dept with banquet set up and tear down when required
  • If we are short staffed the Event person will be required to run a function
  • Working a variety of shifts based on business levels
  • Distribute weekly schedule of upcoming functions.
  • Check meeting and guest rooms prior to group's arrival. Conducting pre and post cons with group leaders
  • Greet event planners / contacts on arrival and introduce this person to key personnel at lodge.
  • Must be highly visible to event delegates, wedding guests, and tour operators to answer questions or handle charges or provide conference change forms if required
  • Liaise with the F&B Manager and the Chef to execute events
  • The Event Planner will be on site until dinners are served to all groups
  • Complete billings for groups within three days of departure.
  • Have conference/wedding kits ready at Lodge at all times.
  • Constant follow up and discussions with planners.
  • Working closely with the Sales and Marketing Dept.
  • Must have the ability to pay close attention to detail
  • Hours can vary based on business levels, i.e. working weekends and some days may be longer than others based on the nature of the business

 

Experience / Background Preferred: 

  • Basic knowledge of food and beverage operations.
  • Previous Event Planning experience required
  • Extensive experience with Opera required
  • Excellent customer focus and great attention to detail
  • Must have intermediate excel experience
  • Making reservations and handling any issues with them should they arise
  • Completing the billing for all events within one week of departure.
  • Knowledge and experience of the front desk is required
  • Excellent verbal and written English skills
  • Excellent interpersonal skills.
  • Working closely with all Departments to discuss any special circumstances
  • Strong organizational skills.
  • Must be available to work later into the evening
  • Drivers' license and clean driver's abstract preferred
