The Sales & Marketing Coordinator works directly with the Director of Sales & Marketing, Sales Team and Marketing Manager to help support hotel-wide and departmental initiatives.

  • Support Sales initiatives across the Sales Office including daily client service, acting as an "inside sales" contact and liaison handling assisting with group leads in the absence of the sales representative when out of office or traveling
  • Manage and service sales contract turnover from receipt to departure/post-reconciliation. 
  • Enter rooming lists/reservations.
  • Entering updated actuals for each group into Delphi
  • Assist in setting up trade shows and road shows.  This includes making sure all collateral needs are met.
  • Execute contract details, follow up on payments as outlined in contracts. 
  • Provide administrative support to Sales Department members. 
  • Communicate effectively with all hotel departments to ensure BEO and customers details are shared with proper management. 
  • Digital space, including social media, website and digital marketing. Social media duties to include management of social media content planning and execution in collaboration with a social media agency; cultivate and grow online relationships with key target audiences; and seek new opportunities to integrate social media into our strategic marketing objectives in addition to collateral creation and updates; organization and management of photography library; reputation management; collateral filing/organization; media itinerary development
  • Coordinate with Revenue Management and Reservations on building Local and National Corporate rate codes 
  • Entering Local and National Corporate production for each account into Delphi
  • Responsible for files and appropriate documents for all group and corporate accounts
  • To maintain accurate contact information through sales call entree, post-convention records and file management.
  • Coordinator supports the DOSM with tasks including, but not limited to: budget creation, marketing plans, reports, RFP processes, systems administration (Delphi, Opera etc...)  calendar and appointment management. 
  • Prepare reports as requested from the VP Sales, DOSM, and Sales Managers
  • Strong working knowledge of Opera & Delphi (REQUIRED) social media, digit media, Microsoft Office (Outlook, Excel, PowerPoint). Hotel sales office experience required.

 QUALIFICATIONS:

  • Minimum of 2-3 years administrative sales and marketing experience, preferably within luxury, hotel (200 rooms or larger) and/or retail boutique facility
  • High School graduate or G.E.D. equivalent.
  • Prolific in MS-Office, Outlook software operating systems and applications
  • Demonstrated leadership experience, which includes, strategic, interpersonal and collaborative skills.
  • Strong organizational skills, including establishing priorities, planning and structuring project deliverables and problem solving.
  • Excellent verbal and written communication skills, including effective listening, presentation and facilitation skills.
  • Demonstrated sound judgment and ability to make effective, timely decisions as needed. Prompt responses to voicemail, email and supports the needs of the sales and marketing office.
  • Ability to utilize strong organizational skills to prioritize and manage multiple projects.
  • Highly motivated with ability to drive results and work on multiple projects with minimal supervision.
