JOB DESCRIPTION

 

POSITION:  FRONT DESK REPRESENTATIVE

EDUCATION/EXPERIENCE:        High School Diploma or equivalent

                                               Prior hotel experience preferred, but not necessary

                                               Prior customer service experience preferred

 

  

MINIMUM QUALIFICATIONS:    

                                                Must have excellent communication skills

                                                 Must have the ability to work alone, with others, and flexibly                                                                                                         Must have a professional demeanor with an understanding of the

                                                rules of etiquette

                                               

 

                                                  

RESPONSIBILITIES/DUTIES:

 

  1. Greets guests courteously and registers guests into the hotel
  2. Check guests in/out of hotel and make reservations for future stays
  3. Possesses knowledge of the billing system
  4. Processes guests' accounts and post/collect payment
  5. Possesses knowledge of hotel products, rates, and special programs
  6. Runs designated reports daily and checks for and resolves any room discrepancies
  7. Maintain and control room inventory and availability
  8. Maintains total confidentiality of all guest and accounts at all times
  9. Maintains an efficient flow of information with guests, team members, managers, sales, housekeeping, and the food and beverage department
  10. Properly distribute all internal/external mail for guests and staff as in accordant to hotel procedures
  11. Handles guest requests and concerns in a courteous and timely fashion
  12. Responsible for all keys, cash drawers and any other valuable items during shift
  13. Properly maintain knowledge of hotel and company policies and emergency procedures
  14. Follows and promotes Compass Points with guests and team members
  15. Maintains neatness of front desk work area

Additional Responsibilities: Performs other related duties as assigned by the Front Office Supervisor(s), Operations Manager or another member of management.

 

APPEARANCE AND GROOMING:  All staff members are required to follow the guidelines set forth by the employee handbook.

 

LANGUAGE SKILLS:  Must have the ability to read and comprehend simple instructions, ability to write short correspondence in a clear and concise way, and the ability to communicate clearly and professionally with other team members, managers, and guests.

 

MATHEMATICAL SKILLS:  Must have the ability to calculate figures and amounts such as taxes and the ability to learn how to use an adding machine.

 

REASONING ABILITY:  Must have the ability to apply common sense understanding to carry out instructions, the ability to apply problem solving when confronted with an issue, and the ability to apply different techniques depending on the guest's demeanor.

 

PHYSICAL DEMANDS:  Must be able to stand for 8 or more hours, lift up to 35 pounds, be able to hear guests and speak clearly in response.
