Catering Coordinator: The Catering Coordinator is primarily responsible for providing support & administrative support to the Director of Catering, Catering Mangers, Banquet Manager and the General Manager. This person is responsible for maintaining the catering system records, filing systems, computer files, tracking of processes and contracts. The position requires performance of general administrative duties inclusive of answering phone lines, photocopying of documents, sorting through mail, maintaining, ordering of office supplies, writing routine letters, data entry, assisting and coordinating client site visits and ensure proper solicitation of all transient markets are conducted, etc. This position will report the Director of Catering and the Catering Managers.

ESSENTIAL FUNCTIONS

  • Must report to work on time as per scheduled shift start time. Must be able to comply with any/ all hotel Attendance & Punctuality standards, expectations and policies.
  • Manage all your "In Box" throughout the day and empty before the end of your shift (i.e. email, voicemail, mail). Requests should be completed by the end of your shift.
  • Maintain office cleanliness, supplies and functionality.
  • May assist General Manager with Hotel related projects/ Special Projects and administrative related items (Shared responsibility with Sales Coordinator. Work together to rotate.).
  • Attend Catering meetings.
  • Prepare Catering Sales Kits and Wedding Kits as needed. All kits that are sent must have a signed inquiry letter attached.
  • Order supplies as needed for the Catering department.
  • Assist clients in the absence of management with event planning details as administrative back up, when managers are out of office.
  • Assist with operations as needed when business levels are high and all hands on deck are required.
  • Provide support to the Director of Catering and the Catering team.
  • Assist Catering Managers with administrative duties for site tours, wedding events, menu tastings etc. Occasionally will need to assist with the actual site tour when commitment levels are high.
  • Complete Door Cards for events for the following day.
  • Attend weekly Catering meeting.
  • Attend Weekly BEO meeting.
  • Maintain Master List BEO Binder Daily/Weekly.
  • Book and manage all In-House meetings as requested internally by department managers. Create BEO from In-House Meeting Request Form and give a copy to requesting manager as confirmation.
  • Complete projects as requested. Please verify deadlines.
  • Produce letters for Catering Managers as needed, send back to them for proofing and signature.
  • Must possess exceptional written and verbal communication skills, and experience in preparing and presenting proposals (must have clear, concise verbal & written communication skills).
  • Excellent organizational skills are essential, must be able to multi task, have outstanding attitude, enthusiasm, professionalism and attention to detail. Must be results orientated with ability to be flexible.
  • Must be guest service focused, and understand expectations of hospitality demands.
  • Must deal with internal & external guests with a high level of professionalism, tact and diplomacy.
  • Must work effectively in a team environment and with different levels of management.
  • Proficient in MS Word/Excel and Power point (Must have solid MS Office skills.)
  • Must be able to multi-task.
