The Role

The primary responsibility of the Assistant Business Office Manager will be the duties of the Receptionist. (See Receptionist job description). In addition to the Receptionist duties the Assistant Business Office Manager will be responsible for supporting the Business Office Manager in coordinating and performing office functions.

Areas of Responsibility:

  • Post resident payments daily to the resident's account, prepare deposits and take deposits to the bank, scan and send copies of deposit slips to Love Management Company.
  • Assist in collecting and maintaining new resident information as well as maintaining current resident information, files and fire and emergency resident call lists.
  • Set up and maintain resident, vendor, and employee files to include correct remittance information and proper insurance documentation.
  • Assist in providing administrative, marketing, and operational support as needed, including tours and social events.
  • Responsible for assisting with monitoring resident fee increase gift certificates and sending out monthly fee invoices.
  • Assist in the Purchase Order and Work Order System, including receiving invoices and ensuring accuracy of purchase order invoices and goods purchased. Code invoices and obtain proper authorization. Submit bills with purchase orders/vouchers in a timely manner to the Business Office Manager.
  • Follow Company policies and procedures and operate within Community budget guidelines.
  • Assist in entering rate changes and sending notices to residents and their family members as needed.
  • Maintain current personnel vacation, sick and leave records.
  • Collect, complete and enter additional resident charges such as guest meals, tray services, escort charges and maintenance-related charges.
  • Assist in maintaining the Work Order System, including posting and monitoring the Recurring Work Order System.
  • Maintain high standards of personal appearance and grooming, which include wearing proper attire and name tag when on duty.
  • Maintain confidentiality of all pertinent resident, staff or Community information deemed as such.
  • Be constantly watchful of signs that residents are not able to function independently or a change in resident's behavior. Report all signs to the Community Director following Company policies and procedures.

Required education:

  • High school or equivalent
