The Community 

Avidor Edina is a luxury, amenity rich residential community with 165 age restricted 55+ rental apartment units. Located at 5200 Eden Ave, the 6-story community is scheduled to open in May 2019.

The Role

  • The Move-In Coordinator's primary responsibility is to assist Sales & Marketing by performing administrative tasks associated with the sales, move-in, or transfer process to keep occupancy levels high. This is a full time position: 8 am - 4:30 pm, Monday through Friday, some weekends may be required.

Areas of Responsibility:

  • Prepare and complete all paperwork related to new move-ins and transfers according to State guidelines and Company policy, including preparation of Move-In Packets.
  • Coordinate the distribution of all Move-In paperwork to the appropriate departments.
  • Alert appropriate building staff of projected move-ins, move-outs and transfers.
  • Coordinate and communicate unit readiness with appropriate departments to ensure timely move-ins and transfers.
  • Greet prospects, residents, vendors, visitors, and fellow associates professionally and enthusiastically.
  • Maintain high levels of customer service and occupancy; establish and maintain good working relationships with residents and their families.
  • Utilize professional telephone etiquette when speaking with prospects, families, new residents, and other associates.
  • When needed, may answer inquiry calls and internet inquiries using appropriate forms to communicate all activity to the department.
  • Assist with facilitating distribution of the 30 day Move-in Survey and Resident/Emergency Contact mapping data.
  • Facilitate the New Resident orientation process with all department heads per Company policy.
  • Complete pre-move-in inspection and check keys to apartment 72 hours prior to move-in and report any unfavorable conditions to Maintenance and Community Director.
  • Hand deliver move-in gift the day of move-in.
  • Participate in Sales & Marketing Department meetings and/or training as requested.
  • Perform resident orientation and move-in inspection of apartment with new resident on behalf of Sales & Marketing.
  • In conjunction with Director of Resident Experience, assist in the planning and hosting of events for prospects or referral sources.
  • Have working knowledge of the Accounting System and be able to utilize the system as needed.
  • As appropriate, ensure that all model and guest suites are ready to show at all times.
  • Share positive and/or negative comments related to customer satisfaction with the Community Director.
  • Maintain professional standards of personal appearance and grooming to reflect sales ability, leadership, and integrity, which includes wearing the proper uniform and name tag when on duty.
  • Provide services and interactions throughout the Property which delight residents, prospects, and the greater community, with inspired experiences which result in referrals and high occupancy.
  • Comply with all State/Federal/City/County requirements and regulations including but not limited to; Fair Housing, Americans with Disabilities Act. Fair Credit Reporting Act, and other laws and regulations governing multi-family housing operations.
  • Report any and all deferred maintenance, vandalism or hazardous situation to the Community Director as discovered and take appropriate action as necessary.
  • Ensure understanding of and compliance with all regulations regarding residents' rights.
  • Maintain confidentiality of all pertinent resident, associate, Property or Company information deemed as such.
  • Other duties as assigned.Special Requirements/Certifications:
  • Must be a minimum of 18 years of age. State specific guidelines may apply.

  • Minimum Education Requirement: High school diploma or equivalent.
  • Requires 1-2 years office experience and Microsoft Office program proficiency.
  • Must be a self-starter with the ability to problem solve.
  • Must have good organizational skills and demonstrate consistent attention to detail, showing follow-through with assignments.
  • Must have superior verbal and written communication skills.
  • Must be able to demonstrate relationship building skills.
