This key role fills a critical need in a dynamic and evolving family office for an affluent Canadian family. The Household Operations Assistant will be based in the Greater Toronto Area, with little travel.

The Household Operations Assistant will be primarily responsible for assisting the House Manager with the general operations of the properties. Provides "hands on" support and works in liaison with the Personal and Corporate Offices, the Group Controller and other House Managers globally to ensure exceptional and consistent standards are administered and maintained. 

Candidates should be experienced and comfortable working collaboratively in a formal fully-staffed home and must be adaptable and flexible to meet changing needs.

PRIVATE OFFICE/HOUSEHOLD ASSISTANT   

  • Building documents - collating information and imagery
  • Handling logistics of acquiring and moving high value items globally
  • Bookkeeping, data entry, invoice management and preparation of data for financial review
  • Providing support to principals and extended family when required
  • Liaising with vendors and specialist contractors
  • Acting as first point of contact for Private Office communications, fielding calls, monitoring emails and messages
  • Organizing special deliveries and logistics for purchases
  • Assisting House Manager with house set-up and shut-downs
  • Management of both hard-copy and digital files
  • Cataloging of client literature (magazines, art catalogs and current affairs)
  • Preparing presentation material
  • Preparing meeting agendas and taking notes
  • Pet care - veterinary appointments & groomers
  • Inventory management for artwork, furniture and household valuables
  • Inventory management for household items

 

Key Requirements

  • Must be able to work weekends when required
  • Able to work with Microsoft Word, Excel, PowerPoint  
  • Experience of working with HNWI's
  • Excellent organisational skills
