The Four Points by Sheraton Toronto Airport Hotel has an exciting opportunity available for a Catering Coordinator on a four (4) month contract. This position will be responsible for overseeing all functions and the catering administration process. This position oversees the client experience through the entire process, from capturing the original requirements, documenting the details in our CRM system (ISAC), issuing banquet event orders (BEO) and/or contracts through the on-property experience including all stages of service delivery and follow-up. The successful candidate will have the experience to promote an outstanding customer service that exceeds guest expectations; a passion for delivering and exceptional guest experience.

Job Responsibilities:

  • Accountable along with the Catering Manager for booking and increasing catering business through the development of new business and follow up on existing inquiries.
  • Prepare correspondence to customers, internal booking reports and accurately maintain sales activity records and documenting all bookings in ISAC (CRM system).
  • Prepares Proposals and Contracts. Responds to all inquiries in a timely manner.
  • Finalizes all group bookings as assigned. Once assigned, reviews sales bookings, communicating with client on all aspects of conference/meeting (detailing) and preparing detailed Banquet Event Orders for distribution.
  • Ensure that all conferences, meetings and group activities are coordinated and managed within the client's expectations.
  • Up sell client events and manage function space and room block inventory to maximize hotel profit.
  • Organizes and distributes all Banquet Event Orders (BEOs) to departments. Communicates all changes effectively to control labor and food costs.
  • Acts as liaison between Sales & Catering Department and other departments such as Banquets Team, Front Desk etc.
  • Work with other departments within the hotel to provide quality service to customers.
  • Assists clients while on site at appropriate times (evenings and week-ends if required).
  • Follow up with the customers post-event to ensure complete satisfaction of our services.
  • Maintains confidentiality and privacy of company and co-workers, privileged communications and records.
  • Develop/maintain knowledge of market trends, competition and customers. Stays current with trends, assists with creation of new themes, special events and service standards.
  • Fosters relationships and visibility with suppliers, event and third party planners in order to increase business levels.
  • Other administrative duties and responsible as assigned by the Catering Sales Manager and/or Director of Sales and Catering.
  • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required

Education and Experience:

  • Must Possess 1 to 2 years of sales and/or catering coordinator experience in similar role in Hotel or Conference Events environment
  • Must process 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; no work experience required
  • Must possess computer skills, including, but not limited to, Microsoft Word, Excel, ISAC and/or similar sales/catering and hotel related operating systems.
  • Strong verbal and written communication skills with ability to communicate effectively by telephone, email and reporting.
  • Exceptional sales ability and skill in both oral and written form.
  • Ability to convey information and ideas clearly.
  • Knowledge of food and beverage menus, food preparation and presentation.
  • Ability to communicate customer needs and resolve complaints independently.
  • Ability to work well in stressful, high pressure situations.
  • Ability to act independently with minimal or no supervision.
