Catering Coordinator           

Job Definition:

The Catering Coordinator will be responsible for servicing all meetings/events/weddings. 


Duties & Functions: 

  • Responsible for being the primary point of contact for all meetings/events/weddings at The Chanler.
  • Required to be present for all social events held at the hotel.
  • Responsible for greeting clients along with banquet staff prior to events starting to ensure their satisfaction with room set-up and event details.
  • Provide excellent customer service and customize each event to the client's needs.
  • Follow up with clients on completed events for future events purposes.
  • Establish and maintain close contact and good rapport with top and target accounts through a variety of methods. Assess their current and future needs.
  • Work with the DOSM to develop and promote meeting packages and specials for events and weddings.
  • Demonstrate effective communication, negotiation, and closing skills.
  • Conduct site inspections with potential customers and walk-ins.
  • Maintain accurate contract files.
  • Maintain and update account, client, event/meeting information and activities in current sales system.
  • Facilitate detailing of all catering events with support staff/operations team as needed.
  • Facilitate weekly BEO reviews in managers meetings.
  • Provide direction to banquet staff through the F&B Management team for all events, and maintain a favorable working relationship within the department and other departments.
  • Coordinate client tastings for all social events with the Executive Chef and F&B team.
  • Develop and maintain rapport with competitor hotels.
  • Prepare catering figures and reports as directed.
  • Maintain accurate forecasting of catering revenues with DOSM.
  • Due to the cyclical nature of the hospitality industry, team members may be required to work varying schedules to reflect the business needs of the hotel.

 

Specific Job Knowledge & Skills: 

  • College Degree or equivalent in Sales, Hospitality, or related field required.
  • 2 years of Catering or Sales experience required.
  • Previous experience in a luxury hotel required.
  • Excellent reading, writing and oral proficiency in the English language.
  • Positive and productive working relationships with entire staff of the property.
  • Attention to detail.
  • High level of creativity.
  • Sales and Catering Computer Software, MS Word, Excel, and ability to use e-mail and the Internet.
  • Ability to handle multiple tasks and make decisions in a fast paced client driven environment. 
  • Ability to work long and irregular hours, weekends and evenings.

Physical Abilities: 

  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance.
