Reservation Manager/Sales Group Coordinator Job Description

Overview

Our Reservations Manager will be responsible for Managing the reservations Department as well as assisting the Director of Sales and the Assistant Director of Sales with coordinating groups. This position requires a strong multi-tasking ability.

As the reservations manager/sale coordinator, you are responsible for managing the reservations department as well as coordinating all group sales along with our Director of Sales and Assistant Director of sales. You will be expected  to communicate direction to all departments as well as give full support to all departments.

As a member of the management team you will be expected to lead by example and assist in guiding your team into achieving outstanding service and performance goals, while motivating everyone on your team to work proactively and ensure the success of the property.

We are seeking individuals with an outgoing and upbeat personality.

Reservations Management

  • Manage and maintain reservations standards within PMS and guest facing communication.
  • Ensure staff is well trained and has ongoing training as needed on systems.
  • Ensure staff is able to describe all hotel accommodations.
  • Oversee accurate input of Reservations into system.
  • Maintain system balances between PMS and CRS/GDS
  • Analyze and manage all no-show, same-day cancel, early departure and unexpected stay-over patterns
  • Clear all room type issues prior to arrival on a daily basis.
  • Detail day of arrival list daily (correct notes/Billing ect…)
  • Manage and over see correct notes are placed by reservations team
  • Manage rate calendars
  • Ensure rates are correct in PMS/GDS
  • Ensure an efficient and professional working environment with open communication
  • Anticipate guests' needs, respond promptly and acknowledge all guests, however busy, whatever time of day.
  • Compose, type and edit all correspondence, develop and maintain follow-up task systems
  • Provide relevant information to all departments as needed, receive and direct calls, respond to inquiries and research issues when appropriate.
  • Manage guest follow up
  • Manage all Folio inquiries along with the reservations team
  • Manage all folio charge adjustments
  • Maintain knowledge of all hotel services/features and hours of operation.
  • Manage reservation Agent schedule

Grp Sale coordinator

  • Assist Director of Sales and/or Sales Manager with incoming and outgoing sales calls
  • Assist Director of Sales and/or Sales Manager with incoming and outgoing sales Emails
  • Assist with Completing rooming contracts and RFPs, email contracts to clients
  • Assist with Conducting site tours of hotel property
  • Input all definite group booking into the PMS system
  • Ensure all rooms are released back to inventory and balanced during cut off dates or group cancellations
  • Assist with VIP rooms set up as instructed by the client
  • Assist with Grp flow chart to track sales progress and grp monthly compression
  • In PMS manage PMS to ensure accurate group booking information is set up for reservation accuracy.
  • Provide directional feedback on group blocks pick-up and slippage to DOS and ADOS
  • Assist with direction of group sales filling gap periods with DOS and ADOS
  • Assist DOS/ ADOS with organizing group resumes and riders a week prior to group's arrival
  • Meet with meeting planners as necessary along with DOS and ADOS
  • Provide administrative support to DOS and ADOS as assigned

Skills

  • At least 2 years' experience in a hotel reservations management
  • Must be proficient with MS Word and MS Excel
  • Knowledgeable in PMS and GDS systems
  • Knowledge of interdepartmental systems a plus (ALICE, REX e.t.c)
  • Refined organizational and team leadership skills.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask
